Record exactly what arrived

Put the machine identification, hours shown at handover, supplied attachments and delivery date together. Check the booking against the delivered configuration with the supplier. Keep the applicable instructions and supplier contact information available to the people responsible for the rental.

Agree on the condition record

Document visible condition with the supplier before work starts, including any existing damage or missing items. Use clear photographs and written notes rather than a few distant shots. Ask how concerns should be reported and keep the acknowledgement. This record supports communication; it does not replace the supplier’s inspection or operating requirements.

Separate familiarisation from assumed experience

Confirm how the supplier provides machine-specific handover and who is authorised and competent to operate it. Ask where the instructions and emergency contact details are kept. A previous rental of a similar-looking machine does not establish familiarity with this configuration.

Confirm what happens when plans change

Clarify the arrangements for faults, downtime, replacement equipment and an extended hire. Ask who can authorise changes to the booking. Report concerns through the agreed route; do not treat a rental schedule as permission to continue using equipment that requires assessment.

Plan the return at the start

Record collection arrangements, fuel or charging expectations, cleaning requirements and the items to return with the machine. Photograph the agreed return condition and retain the collection record. A single rental file should contain the booking, handover, communications and return documents so neither side has to reconstruct the sequence later.
